Overview
If staff or students wish to borrow any of the department's equipment, they must confirm they have read and understood the following terms and conditions.
- Under no circumstances will equipment be released unless a completed risk assessment form has been submitted and approved, where required.
- Equipment should only be collected and returned at the pre-arranged time and date. Equipment should not be left in the corridors and should be put in the drop-off cupboard.
- As the equipment is a teaching resource, priority will be given to teaching activities over other fieldwork. Users are advised to make their bookings early to ensure that equipment will be available; equipment is allocated on a first-come, first-served basis.
- You are responsible for the costs of the insurance excess if it is damaged, lost, or stolen.
- Never leave any equipment unattended on-site or in an unattended vehicle; make sure it is stored in a secure place overnight.
Risk Assessment and Ethics Approval
It is important to note the following:
- If you are using equipment on campus, a risk assessment is generally not required (unless otherwise informed), as most equipment does not necessitate one.
- If you are working off campus, you must complete a risk assessment before using any equipment.
- Any interviews or work must have ethics approval if required.
If you are in doubt about any of the above, please contact the technician (arch-field-tech@bristol.ac.uk) or your tutor/supervisor.
Your Liability
The University has arranged 'All Risks' insurance in respect of equipment whilst off-site in the custody of (and on-site whilst still in the custody of) University staff/students and used for University business.
Policy excess: £5,000
Principal Conditions: Excludes losses from unattended vehicles.
Theft cover is subject to evidence of forcible entry to or from the premises.
Full details of the insurance cover are available from the University's Insurance Officer, Ginny Hope (e-mail insurance-enquiries@bris.ac.uk or Ginny.Hope@bris.ac.uk) telephone 928 7791 (ext 87791).
In many cases, the policy excess will be greater than the value of the equipment lost, and in these circumstances, the department will be responsible for the replacement cost.
You are borrowing university property and are responsible for its safekeeping at all times. You will therefore be liable for the full replacement cost of the equipment in the following circumstances:
- If it is stolen from an unattended vehicle.
- If it is left in an unlocked room/building.
- If it is lost or damaged through carelessness.
If you encounter any issues whilst using the equipment or the equipment is lost or damaged when it is in your care, please email the arch-field-tech@bristol.ac.uk mailbox immediately.
